The service helps salons process Instagram Direct messages, answer frequently asked questions, prepare draft booking requests, notify salon administrators in Telegram, and sync confirmed bookings with connected calendars, CRM systems or internal schedules.
2. Information We May Process
Depending on how a salon configures and uses the service, AI Beauty Receptionist may process:
- Salon account information, such as salon name, address, contact details, staff contacts and internal manager information.
- Salon configuration, including services, prices, schedules, masters, booking rules, tone of voice, knowledge base content and automation settings.
- Instagram, Facebook Page or other connected account identifiers needed to route messages and integrations.
- Instagram messages received through connected salon accounts, including message text and conversation identifiers.
- Client names, phone numbers, Instagram identifiers, email addresses or notes when provided by the client or salon.
- Booking details, including selected service, master, date, time, source channel, status and booking notes.
- Google Calendar event data when a salon connects Google Calendar and confirms bookings for sync.
- Integration credentials and OAuth tokens, which are stored encrypted and are not returned in raw form to the admin panel.
- Technical logs, integration event logs, audit logs and error records used for security, debugging and service reliability.
3. How We Use Information
We use information only to operate, support and improve AI Beauty Receptionist for the salon that connected the service. This includes:
- Providing AI receptionist functionality for salon conversations.
- Answering salon-specific FAQ based on the salon knowledge base.
- Checking availability and preparing draft booking requests.
- Notifying salon administrators about new draft bookings, confirmed bookings, handoff requests or integration errors.
- Syncing confirmed bookings with connected calendars, CRM systems or internal schedules.
- Improving salon-specific AI quality using salon-scoped corrections, approvals and training examples.

4. Data Sharing
We do not sell personal data to advertisers. We share information only when required to operate the service, when a salon has connected a provider, or when required by law.
Connected providers may include Meta/Instagram, Google Calendar, Telegram and future CRM, SMS or Viber providers. For example, we may receive Instagram messages from Meta, send admin notifications through Telegram, or create calendar events in Google Calendar after a booking is confirmed.
5. Data Retention
We retain salon configuration, conversations, bookings, integration logs and related data while the salon account is active or as needed to provide the service. If a deletion request is verified, we will delete or anonymize data where legally and technically possible.
Some records may be retained for a limited time when necessary for security, fraud prevention, accounting, dispute resolution or legal compliance.
6. Security
AI Beauty Receptionist uses internal access controls, role-based admin access and encrypted storage for integration credentials and OAuth tokens. Logs are designed not to expose raw secrets, tokens or passwords. We also separate salon-specific configuration and training signals so one salon's data is not used as another salon's private configuration.
